How payment, scheduling, and refunds work at Trinity Dental Arts — in plain language, with no surprises and no fine-print gotchas.

Your Fees & Written Treatment Plan

  • Before any treatment, you’ll receive a written plan listing each procedure and its fee. Quoted fees are valid for 30 days — and if you accept and schedule within that window, your price is locked for your scheduled date, even if it falls later.
  • Some treatments (like full-arch implant cases) are quoted as one all-inclusive global fee. Your plan spells out exactly what’s included — and exactly how refunds are prorated by treatment phase if a plan ever stops partway.
  • We’re insurance-independent, so estimates show our fees only — never insurance projections. The number you see is the real number. Self-pay patients also receive a written Good Faith Estimate under federal law.
  • If we find something new during treatment, we pause, walk you through an updated plan, and get your written OK before anything changes.

Your $300 Signature Consultation

  • Covers one diagnostic visit: your doctor’s exam, the imaging you need, and your written treatment plan. Because it pays for real doctor time, it isn’t refundable once your visit happens.
  • The good news: start treatment within 30 days — accept your plan and book your first visit with its deposit — and the full $300 comes off your treatment balance.
  • One credit per treatment plan; no cash value. If your consult came through a promotional offer, the offer’s terms apply.

Paying for Treatment

  • Payment is due when you schedule. For plans over $200, a 50% deposit reserves your appointment and the balance is due before your visit date.
  • Why upfront? Your deposit reserves your doctor and room — and for surgical cases, work starts before you sit down: records, planning, and custom pieces made just for you.
  • Pay-in-full courtesy discounts are our thank-you for completing your plan. If a plan stops early, completed work is simply billed at regular fees (global-fee cases are prorated by phase instead).
  • Came in through a free or discounted offer? Florida law gives you 72 hours to change your mind about any other services performed at that visit — and we honor that fully.
  • We accept cash, checks, all major cards, Apple Pay / Google Pay, and third-party financing. Your card statement will show “TRINITY DENTAL ARTS”, and you’ll always get a receipt.

Rescheduling & Cancellations

Life happens — we simply ask for enough notice to offer your reserved time to another patient. A cancellation counts the moment we receive it by phone (727) 228-6846, text, or email. Keep your confirmation.

Non-surgical visits

48 hours’ notice. Cancel in time and your deposit is fully refunded or moved to your new date. Short notice or missed: $50, or up to 50% of the deposit for reserved procedure time.

Surgical visits

5 business days’ notice. Late cancellations forfeit up to 50% of the deposit; a missed surgery without notice, up to the full deposit — reserved surgical time and materials cost real money.

Full-arch surgery

A $5,000 PRE-OP fee is earned — and never refundable — once pre-surgical work (records, planning, guides, fabrication) is performed. Cancelling within 48 hours of surgery adds a fee of up to $5,000, per the schedule you sign at scheduling.

  • Documented medical emergencies are handled with compassion, case-by-case.
  • If we ever need to reschedule, you choose: a new date or a full refund of anything unearned.
  • Frequent short-notice changes may simply mean prepaying to book future visits — that’s all.

Refunds — Fair & Fast

  • Completed care isn’t refundable — but if you’re ever unhappy with your treatment, tell us. We take it seriously and will work with you directly.
  • Work already performed stays earned: your consultation, diagnostic records and planning once taken, and custom lab work once fabrication begins. Everything unearned comes back to you.
  • If treatment stops mid-plan, you receive what you paid for care not yet performed, minus a 10% administrative fee (never more than your deposit). Global-fee cases use a simple, pre-agreed phase allocation.
  • Approved refunds go out within 7–14 business days, back to your original payment method — financed amounts to your financing account, cash refunds by check. Overpayments are always returned.

Insurance

  • We don’t participate in insurance networks — it keeps care decisions between you and your doctor. As a courtesy, we’re happy to prepare and file claims for you.
  • Your estimate never depends on insurance, and any reimbursement your plan pays goes to you (or is credited to your account and refunded if paid to us).

Card on File

  • Every patient keeps a card securely on file — stored as an encrypted token by our payment processor. We never write down or photocopy your card; our records keep only the brand and last four digits.
  • Your card is charged only for the four things you approve in writing: deposits you OK at booking, the cancellation fees above, balances 30+ days past due (after a statement plus 3 business days’ notice), and payment plans you’ve set up. You get a receipt every time, and you can swap or remove your card whenever you like.

Third-Party Financing

  • We work with several trusted third-party financing partners, and they may change from time to time — just ask what’s currently available. Financing is always credit from the lender, not from us.
  • Before you commit, we walk you through the options, the promotional period, and exactly what happens when it ends — “no interest” always means promotional-period only, and the lender’s written terms control.
  • We only charge a financing account for care delivered or scheduled within 30 days (custom items such as implant prosthetics may be charged when fabrication is ordered, per lender rules). Refunds of financed payments always go back to your financing account — and we never add surcharges or fees to financed payments.

Optional Warranty Protection

  • A 6-year portable warranty is available for certain procedures — dental implants, crowns, and full-arch / full-mouth restorations — through our licensed third-party warranty partner. If covered work fails under normal use, it’s repaired or replaced per your warranty — no surprise bills.
  • It’s an optional add-on, and always your choice: we present it separately, with its own written quote (priced per covered restoration) and its own contract. It’s never bundled into your treatment fee.
  • It’s portable — your coverage travels with you and stays valid even if you move or change providers. Keeping it active is simple: follow the maintenance plan you and your doctor set together.
  • The warranty is a service warranty issued by a licensed warranty provider — it isn’t insurance, and it isn’t issued by our practice. Its signed contract and policy form govern all coverage, conditions, and exclusions. Warranty service is a repair benefit, not a refund of completed treatment.
